A good system begins
with understanding.
Before adding another tool or workflow, get clear on the process it needs to support. That clarity gives the work a purpose and the team a shared starting point.
Understand before changing
Start with the current journey: where enquiries arrive, who handles them, what the team needs to know and where the process slows down.
Agree on the shape of the work
Define the deliverables and boundaries. Identify account access, tool compatibility, external approvals and the responsibilities that sit with each person.
Build and test the important paths
Configure the agreed changes, then walk through realistic scenarios. Look at the ordinary path as well as replies, repeat entries and exceptions.
Make the handover useful
Explain the setup in a way the team can use. Record what was built, how to check it and which ongoing responsibilities or support needs remain.
Know what happens
after handover.
A working setup needs clear ownership. Platform charges, integration costs, support arrangements and responsibility for later changes belong in the project conversation.
Keep the first scope useful and understandable. Expand when the next improvement has a clear reason to exist.
